Batches & Capacity Management
Batches are the heartbeat of your coaching centre. Learn how to configure batch capacities, automate waitlists, manage subject-teacher assignments, and monitor batch readiness.
Batch Architecture
In Acadiom Tutor, batches are isolated cohorts. Every batch maintains its own:
- Student roster and enrolment status (Active, Paused, Completed, Withdrawn).
- Assigned subject teachers and room allocations.
- Timetable slots and attendance registers.
- Dedicated exam scorecards and rank lists.
- Study materials repository and homework assignments.
Creating a New Batch
Go to /tutor/batches and click Create Batch. Fill in the core parameters:
Capacity Limits & Automated Waitlists
Overbooking classrooms creates friction with parents and degrades the learning experience. Acadiom Tutor enforces hard seat caps:
- When a batch reaches 100% capacity, the status badge updates to Full.
- Subsequent admission requests automatically land in the Waitlist Queue with timestamp priority.
- If an enrolled student withdraws or shifts to a morning slot, Tutor prompts you with "Promote next waitlisted student" with one-click notification to the parent.
Batch Readiness Checklist
Before launching a batch, Tutor displays the Batch Readiness Strip at /tutor/batches/{id}:
- β Teachers assigned for all scheduled subjects.
- β Classroom or lab room assigned.
- β Weekly timetable slots locked without teacher conflicts.
- β Fee structure attached.
Assigning Subject Teachers
A batch often has multiple faculty members (e.g., Physics, Chemistry, Mathematics). In the batch details tab, click Manage Teachers to map each faculty member to their respective subject. When teachers log into the Tutor staff portal, their daily attendance list and exam entry forms are pre-filtered to their assigned batches.
Batch P&L & Commercials
Want to know if a batch is commercially viable? Navigate to /tutor/insight/batch-pnl. Tutor calculates total fee collection for the batch against faculty payouts and room allocation overheads, giving you a true gross margin percentage per batch.
